How to
Every task, step by step
Each one tells you where to go, what to tap, and what happens next — the status it lands in and who sees it.
For everyone
Signing in and getting started
Where: Sign in screen
- 1Open Jamaica Ops on your phone. In Safari, tap Share then Add to Home Screen so it opens like a normal app.
- 2Enter your work email. You can sign in with your password, with Google, or ask for a one-time sign-in link by email.
- 3Leave "keep me signed in" on so you are not typing your password before every shift.
- 4The first time you land, the welcome walkthrough shows you each screen. You can close it and reopen it any time from the guide.
What happens next
You land on Home if you are staff, the Command Center if you are a manager, or the Owner view if you are an owner or admin. Your name and job title show at the bottom of the sidebar or under the page title.
Seeing today's shift and your week
Where: Home and Schedule
- 1Home shows your next shifts right at the top — date, time, and where you are posted.
- 2Tap Schedule for the full week. Use the arrows beside the date range to move to another week.
- 3Stay on the Mine tab for your own shifts.
- 4The Unfilled tab shows shifts nobody is covering yet. If you can work one, you can claim it there.
What happens next
Claiming an unfilled shift sends it to a manager. If it clashes with the availability you set, the app warns you first and asks you to confirm before it goes through.
Submitting availability and time off
Where: Availability & Preferences, and Schedule
- 1Open More, then Availability & Preferences.
- 2For each day of the week choose Available, Preferred or Unavailable, and add a start and end time if you are only free part of the day.
- 3Set your preferred shift time, the weekly hours you are after, and any limit on hours or days in a row.
- 4Add date exceptions for one-off days — a wedding, a medical appointment, a trip.
- 5Use the scheduling needs box for an ongoing arrangement management should plan around. Only managers can read that box; coworkers cannot.
- 6Save. For a specific day off, go to Schedule, Time off tab, and submit the request with your dates and reason.
What happens next
Your availability is visible to managers straight away when they build the schedule, and clashes show as warnings on the shift. A time-off request sits as Pending approval until a manager approves or declines it, and you will see the result in your requests list.
Requesting or responding to a shift swap
Where: Schedule, Swap board
- 1Open Schedule and find the shift you cannot work.
- 2Offer it up as a swap. It appears on the Swap board for teammates who can cover that department.
- 3To pick up someone else's shift, look at the Swap board and claim the one you want.
- 4If the shift clashes with your availability, the app warns you and you have to confirm before claiming.
What happens next
A claimed swap is Pending approval until a manager signs off. Both people see the status on the swap board, and the schedule only changes once it is approved.
Clocking in and out, and checking your punches
Where: Time clock
- 1Open More, then Time clock. Tap the big button to clock in when you start.
- 2While you are on, the card shows how long you have been clocked in.
- 3Tap the button again at the end to clock out.
- 4This week lists every punch with the date and hours so you can check your own timesheet.
- 5Something wrong on a punch? Tap that entry, then use Request a timesheet correction and describe what happened.
What happens next
Your punch is saved immediately. With no signal it is held on your phone and sent up when you are back on a network — the Syncing pill shows that. A correction request goes to a manager to review and adjust; it does not change your hours by itself.
Note: If you forget to clock out, the shift shows on the owner view as "Check clock-out" so a manager can fix it with you.
Reading and sending department messages
Where: Messages
- 1Tap Messages at the bottom.
- 2Pick your channel across the top — Maintenance, Jamaica Joe's, Security, Office and so on. You only see the channels you belong to.
- 3Read the thread and type your message at the bottom to post to that channel.
- 4Broadcasts are resort-wide announcements from management. They sit in their own section so they do not get buried.
What happens next
Your message goes to everyone in that channel. Keep guest names and anything sensitive out of channels — put that in an incident report instead.
Viewing your notifications
Where: Messages, Notifications section
- 1Open Messages and scroll to Notifications.
- 2This is where approvals, assignments and alerts meant for you land.
- 3Tap one to see the detail and act on it.
What happens next
Notifications live inside the app. Jamaica Ops does not send phone push alerts or texts yet, so check the app at the start of your shift.
Reporting a guest incident
Where: Ops, Incidents tab
- 1Tap Ops, stay on Incidents, then add a new incident.
- 2Give it a short clear title — what happened, not an opinion.
- 3Pick the category (guest service, injury, property damage, noise, pool, security, weather and so on) and the severity.
- 4Add the location on property and the department that should handle it.
- 5Write what you saw in the description. Facts, times, and what you already did.
- 6Submit.
What happens next
The incident gets a reference number and lands as Open for managers and the department you picked. A manager assigns it, the status moves to In progress, and it is marked Resolved when it is closed out. It stays on the record either way.
Note: If somebody is hurt or in danger right now, use the red Urgent help button first and file the incident afterwards.
Creating and completing a work order or task
Where: Ops, Tasks tab
- 1Tap Ops, then the Tasks tab.
- 2Add a new task for the repair or job — what needs doing and where.
- 3Set the priority and the department it belongs to.
- 4Work assigned to you also shows under Your tasks on Home.
- 5When you finish, mark it complete and add a note about what you did or what parts you used.
What happens next
A new task starts as Open, becomes In progress once someone picks it up, and Completed when you close it. Managers see all of it on the Command Center, and your note stays attached as the record of the repair.
Emergency broadcasts and Urgent help
Where: Urgent help button, and Messages
- 1The red Urgent help button is on every screen — bottom corner on your phone, in the sidebar on a computer.
- 2Tap it, pick the kind of emergency, and send.
- 3Do not use it to test. It reaches management immediately.
- 4Emergency broadcasts from management appear in Messages under Broadcasts.
- 5Read a broadcast and acknowledge it so management knows the message got through to you.
What happens next
An urgent alert goes straight to management and is logged with your name, the time and the category. Acknowledging a broadcast records that you saw it. Call 911 first for anything life-threatening — the app does not replace emergency services.
Your profile and settings
Where: Team Directory and the sidebar
- 1Open More, then Team Directory, and tap your own name to see your profile.
- 2Your profile shows your department, role, job title, work contact details and your availability summary.
- 3Ask Yesina in the Office or a manager to correct anything that is wrong on your record.
- 4Sign out from the bottom of the sidebar, or the sign-out button in the top corner on your phone.
What happens next
Profile and department changes are made by management, so your record matches payroll and the schedule. Operating settings — overtime rules, broadcast permissions — are manager-only and live at Settings.
Note: Staff can view profiles but not edit roles or departments. That is intentional, not a bug.
Managers and supervisors
Manager: building and editing the schedule
Manager onlyWhere: Schedule and Team availability
- 1Open Schedule and move to the week you are building.
- 2Check Team availability first so you are not assigning someone on a day they cannot work.
- 3On a computer, drag a qualified employee onto a shift. On iPhone, tap the employee first, then tap the shift.
- 4Hard conflicts stay blocked in quick assignment. Use the shift's Reassign control only when you intentionally need to review and override an availability conflict.
- 5A soft preference clash or weekly-hours warning is shown before the assignment saves.
- 6A hard unavailable clash asks you to tick an override before it will save, and the override is recorded.
- 7Unfilled shifts stay visible on the Unfilled tab until somebody covers them.
What happens next
Assigned staff see the shift on their Home and Schedule right away. Every override is written to the audit log with your name so there is a record of why someone was scheduled against their availability.
Manager: approvals waiting on you
Manager onlyWhere: Command Center and Owner view
- 1Open the Command Center. Approvals waiting sits near the top.
- 2Work through time-off requests, shift swap claims and timesheet corrections.
- 3Approve or decline each one.
What happens next
Approving a swap moves the shift to the new person and updates both schedules. Approving time off blocks that person out for those dates. Either way the employee sees the result in their own requests list.
Manager: assigning and closing incidents and work orders
Manager onlyWhere: Ops and Command Center
- 1Open Ops and read the new incidents at the top of the list.
- 2Assign each one to the right person or department. The status moves to In progress.
- 3Follow up with the assignee, and add notes as the situation develops.
- 4When it is handled, mark it Resolved and write the closeout note — what was done and by whom.
- 5Do the same for work orders on the Tasks tab.
What happens next
The assignee gets it in their notifications and under Your tasks. Resolved items drop off the open counts on the Command Center and Owner view but stay in the record with the full history.
Manager: reviewing staff and the time clock
Manager onlyWhere: Owner view, Command Center, Team Directory
- 1Open the Owner view to see who is clocked in right now and for how long.
- 2A shift running abnormally long is flagged "Check clock-out" — that usually means someone forgot to punch out.
- 3Fix it with the employee, or handle their timesheet correction request from approvals.
- 4Use Team Directory to check someone's department, role and status.
- 5Overtime threshold, standard shift length and the incident attention level are set at Settings and drive these numbers.
What happens next
Anything you change is reflected on the dashboards straight away. Timesheet corrections are recorded as an adjustment rather than silently overwriting the original punch.
